Planning capacity
See whether your core team has the hours for the work you've won and the work in your pipeline.
Before you start: set a billable target for each job title in Settings › People › Job titles. Utilisation is measured against it. The same list is used by Employees, Staffing, CRM delivery plans, Tasks templates and Capacity.
Choose who and what to look at at the top:
Team: everyone, or one part of the team. Use Manage Team to choose who's included.
Period: 8, 26 or 52 weeks.
Likelihood: which pipeline work to count, by how likely it is to be won.
The cards show your team size and weekly hours, this week's utilisation, how many people are overloaded (over 90%) and how many are underutilised (under 50%).
Team capacity forecast shows each week's hours split into Leave, Assigned, Planned and Available.
Demand vs supply by job title shows spare or missing hours for each job title, week by week. Expand a row to see capacity, committed work, pipeline and the availability that's left. A plane icon means capacity is lower because of leave.
Utilisation forecast lists each person with their job title, weekly hours and utilisation for each week. Expand a person to see their projects, and any tasks without a due date or an estimate, which aren't counted.
Good to know:
Capacity covers your core team only, not shift workers.
Only work assigned on projects counts. Staffing events aren't included.
What the forecast counts
Assigned: Work a named person is booked to do. Where it comes from: A role on a project's delivery plan, with a person
Planned: Work you know needs someone, but nobody is named yet. Where it comes from: A role on a delivery plan, with no person
Leave: Time off. Where it comes from: Employees › Time off
Available: Hours left over. Where it comes from: Weekly hours, minus all of the above
To plan for a job before you know who'll do it, add the role to the project's Delivery Plan without a person. Add the person later and its hours move from Planned to Assigned.
