Billing

Know what's been paid, what's ready to bill, and what's coming, from the work your team completes.

How a bill becomes ready

  1. On a project, select Add under Billing Events. Give each one a billing date, a description, a type (such as Milestone, Monthly or Upfront) and an amount.

  2. Link a billing event to the tasks it depends on.

  3. When the person doing the work completes those tasks and updates the billing event to Ready, finance can see a bill is ready to send to the customer.

  4. Finance sends it and changes it to Sent, then to Paid when the money arrives.

Each billing event moves through these statuses:

  • Planned: Scheduled, not yet ready to bill

  • Ready: The work is done; send the invoice now

  • Sent: Invoiced, waiting for payment

  • Paid: Money received

  • Overdue: Sent, and past its payment due date

  • Disputed: The customer has queried it

On the project, Billing Events shows how much has been invoiced against the total, how much is left to invoice, and what's paid. The Delivery Plan above it shows who is assigned, for how many hours; that's what Capacity counts.

The Billing page

  • Filter by customer, project, sector, dates or status, and select Export to download.

  • This month totals what's due this month, by status.

  • Invoice forecast shows invoice value by status for each month, by due date or billing date, for up to the next 12 months.

  • The cards total what's Paid, Ready to send, Awaiting payment and Planned.

  • Billing Events lists every milestone and invoice, with its customer, project, status, amount, invoice and dates. Change a status from its dropdown, and use Columns to choose what shows.

What can still be charged on each project is in Portfolio › Reports › Project balances. Reports also has Won deals without a project and Receivables ageing.
